New Service Advisor; Set Service Advisor Default?

Post by MSHorst »

Hey all,

Apologies if this is posted in the wrong place. I'm not here often.

But congratulate us! Our little shop has grown to the point where I had to get a second service advisor seat. So is there a way to assign a default service advisor for a second physical computer? I have myself assigned as the primary through
Configurations > Shop Data > Default Settings. I see that I can change that to <none> and then flag "'Written by' has not been entered" under Invoice Validations, but I'm hoping to automate it. We will not often use each other's computers, if ever.

And if there is such an option, I suppose that begs the question: Does SE set that when the Est/RO is created? If not, when?

Thanks,
-Zach

First make sure you have the user set up, then set the default advisor while on that user. After that, every time a new Estimate, RO, PO, etc is created, the name will default to that person.

Congratulations!
Yes. Each service writer needs their own USER profile. When selected (USER name appears in lower RH corner of screen), go to Configuration > Shop Data > Default Settings as shown below:

Thanks Timbre. That worked!

For anyone looking for this in the future, here's the Youtube link for how to set up user profiles.

Hello! We just recently figured out how to assign service writers to our work orders, but now I have a follow up Q...

When we assign a service writer to a work order the service writer's name (along with the name of the technician(s) assigned to that work order) automatically print on our customers' final invoice. Is there a way to turn that off or to hide those names on the invoice? We'd like to be able to use this feature internally, but don't necessarily need or want our customer to see exactly who did what. I've noticed that the technician's names only appear if we have a service writer assigned, which also seemed odd.

Thanks!

Hi there and welcome to the forum. The reason that the service writer and tech are shown on the order is that there are many states that require the technician to show on the order.

Canadian here - I guess that makes sense! Is there an option to manually hide the service writer and/or technician?

Currently no, we can add that in as an enhancement request to possibly be added in the future.
