Tires from Inventory
We've run into this on a few occasions and was wondering if perhaps we're not doing something correctly. We have all of tires in inventory. If a customer comes in and needs tires we add those tires from inventory to the customer's RO. At this point I do not believe there's an indicator that alerts another Service Adviser that the tires are already on a RO or for that matter a Revision. If this is the case, it opens up an issue whereby another Service Adviser can sell the same tire on the same day to a different customer yet, essentially, the tires are no longer available to be sold.
It's not until the RO is switched to an Invoice that the tires are removed from Inventory. If I have this correct are there any work-arounds for such a condition?

Yes there is a provision to Confirm parts "early" that prevents overselling. (when placed on a printed R.O. that quantity # is placed in Committed but you can't see that when selecting)

Unfortunately, we do not add tires to the RO via the Parts button but rather via Promos -> Tires. This being the case, we do not have the confirmed checkbox. If we sell tires as simply a part then we do not have the other pertinent info, e.g. Road Hazard info and lines for capturing DOT's.timbre4 wrote:Yes there is a provision to Confirm parts "early" that prevents overselling. Are you suggesting that tire be sold as Parts the way you displayed or should the "Confirmed" checkbox be elsewhere in the application to accommodate?
Additionally, if the tires are confirmed and we search inventory for tires it would be extremely helpful if the tires sold were shaded or a highlighted with a different color to differentiate them from those "actually" available for sale.

It doesn't matter how they are applied to an order; it works the same both ways.
Once they (tires) land on the R.O., double-click on the tire line (or highlight it and press Enter) to gain access to Part Item Edit window to check the Confirmed box and Done.

Just tried this on a Revision. I added a set of tires to a Revision and attempted to edit the tire Part. The "Confirmed" checkbox is greyed out...no way to check or un-check it.timbre4 wrote:It doesn't matter how they are applied to an order; it works the same both ways.

No, a Revision is not an active order, they’re not sold yet.

I would like to submit a request to have a way to distinguish when tires, possibly other parts as well, are allocated. Currently there doesn't appear to be a way to do this whether it be on an active RO or on a Revision. Would like to see a visual, line color change when searching Inventory.

Confirmed would be dimmed for a) Estimate and b) R.O. not marked as printed. <<< That commits the tire; then the Confirmed checkbox is available. NOTE: If you don't want to manually mark your Repair Orders as printed, use the Screen View tab option to automatically Mark All R.O.s as Approved/Printed.

Thanks for the previous replies and explanation. I have tested here and it seems to working as designed. However, we are still left with the original problem. You have to take extra steps to remove the tire or tires from inventory even though they are on a work-order. The existing functionality may work for other parts but not for tires. In addition, there should be a way to flag tires as reserved and a way to clear the reserve if the customer cancels. Thoughts?
p.s. I'm surprised other's haven't chimed in on this...perhaps others don't sell tires?

Tires behave like any other part in inventory, and as Tim said the 'part' is confirmed when placed on a 'printed' RO. They are only removed when the RO becomes an Invoice. That said, I feel there could be more help from the software. A warning that certain parts are already committed when transferring would be welcome. There is an enhancement request logged to warn users of insufficient QOH. It would be cool if that warning identified the RO number so we could see who reserved the part and identify if we could play swap-a-roo to satisfy the immediate need. The 'committed' field does a good job; it's just that it can't be easily seen. We need more visibility.
I feel all parts would benefit from this added feature, not just tires.

I would like to see some support, manual like the "Confirmed" checkbox for Revisions. Or an alternate solution to "flag" parts that are at least allocated so they aren't commited/allocated.
