Parts On Order Not In Inventory File?
I'm getting a bunch of the same parts showing up on the "LOW INV. BY VENDOR" report every morning.
The problem is that when I go into the inv. file to change the order parameters, the numbers don't exist. I think they've been deleted. I don't understand why they end up on the report if they're not in the inv. file. Is there a way to get these off the daily reports?

Hello Jim, would you mind answering a few questions so we may get to the bottom of this.
Which version of the software are you using?
Is this something that just started happening?
Is this happening with a few select vendors or all?
Is this happening with vendors you e-order from?
On the report, do these numbers show as committed?
The numbers that have been deleted, are they part of a canned job or parts kit, if so this might be the conflict.

I have this problem. I believe it started happening after the migration from 5.9 to SE. I could be wrong thou so don't take it to heart. I thought I remember this being an issue and the program is holding a "ghost part" in the database. I remember being told that they knew about it and were trying to resolve the problem on the next update.

Yes that was one of them. I remember this from a year ago so it has kinda dimmed out in my mind. And thats not really saying much. I think I have alzhiemers.

I'm not sure, I've only been with this company a month. We've just started using the PURCHASE ORDER function.

Okay, if you're not connected to vendors to order electronically, you're manually creating POs.
Are you doing this from individual ROs where you select Order Options, Pick List, then adding Vendor to create PO worksheet? If this doesn't sound like what you're doing, please detail how you create a PO.
Parts are "committed" when an RO is marked as printed (or you have the Mark All ROs as Printed/Approved option turned on) When the work is completed and the RO is converted to an Invoice, the parts change from committed to "confirmed". That's when they are deducted from inventory (where applicable) and committed is reduced by that amount or more likely returns to zero.

No, I,ve been using "Restock From Inventory" to create my POs. adding / deleting parts to reflect what I want to order. I've only been here a short time, the PO system was never used before I came on. After I get this part of the PO system figured out, I'll work on the process you've described above.
I believe the parts I've got showing up on my reports are from before I started working here.

did you go into the canned jobs and parts kits to see if these partnumbers are listed in there? items in these kits are sometimes locked in as to when they were added. just check it out.

I checked and don't see any of the part numbers in question in "Parts Kits" or "Canned Jobs".

it appears that you are using the parts on order report. to clear this you must go back and rec and close all open po's
go to inventory, select purchase orders.
a box will come up with a list of all open po's.
hi-lite the first one, click edit/rec.
rec all your choice to add to inv (i dont)
rec and close.
once you do all of these. there will not be anything on this report.
it will be a good practice to receive the parts as they come in. this is a good report to generate to see who is/isn't completing the po process.

the parts are not on a PO. They(this company) didn't use POs until a few weeks ago, this was one of my first tasks when I came aboard.

yes, every morning on the LOW INV. BY VENDOR report.
