TIP: Special Order Parts to Inventory

Post by davidghs2003 »

Hi,
I need recommendations on the best way to handle the situation:

We special order a non-stock part. The part is entered on a purchase order and received onto a repair order when it arrives on location. When the mechanic gets the part, he notices it doesn't fit the vehicle. In other words, we discover we ordered the wrong part and are forced to include the part in our physical inventory. At this point, what is the recommended way to get the part into our inventory records in Manager +, keeping in mind the part was already received onto a repair order (as non-stock). As you may expect, I do not want to create an inventory record for every non-stock part because this scenario does not happen on a frequent basis. Much thanks.

Hi David, Welcome to the forum.

Try this. Go to the part on the RO and open it. Place a check next to the Inventory Part field. Click Save. Then delete the part off the RO. It should now show one in inventory.

Hey Ric,

Thanks for the reply. We will try that next time it comes up.

However, what if the P.O. has been closed. Obviously I wouldn't be able to go back into the part to edit it. Do you know of a workaround?

It's OK for the PO to be closed. The scenerio I described is done on the RO.

Oh, I'm sorry. I saw RO in your post and apparently my brain processed it as PO. I will definitely try this. Thank you!

No worries. It's all easy to get mixed up, RO, PO, SO etc. Give us a shout if it works or not. :D
