Confirmed Appointment Feature

I love the appointment reminders in Message Manager, especially the confirm appointment feature. What I don't like is the program automatically changing the status to confirmed. Is there a way to use this feature without changing the appointment status? We use a special color for waiting appointments and this feature changes that color and we lose sight of our waiters. I love everything else, except the status change.

Ric,
This maybe the answer.
Go to Message Manager - Settings - Automation
On the Automation screen deselect "Customer Can Reply with "C" to confirm the appointment"
You the should be sure the Wild Card [ReplyToConfirm] is removed from the canned note that is listed above.
Maybe add to the note to reply "Yes" to confirm you are coming in at that time.
This way it eliminates the status change but still sends the reminders out.

Yeah, I've already done something similar, but you don't get the ease of just typing c and you don't get that nicely designed confirmed reply you people worked so hard to design. I just thought if it were possible to have all the other features without the status change. :roll:

Does just taking out the term [Confirmed] from the box in settings help? In my experiment it leaves status blank.

I have a couple of questions please -

1. When the automated system sends out an appointment reminder text, It should show up in the text screen as being sent or no?

2. When the customer does get the reminder text and replies with " C " for confirmation I see that shows up and labels in the appointment or scheduler. Do they receive a thank you text or any kind of reply to let them know we received their confirmation?

Two good questions!

When the customer responds with the letter "C" to confirm an appointment, you will not see it as a balloon on the desk top. The only way to know is to look at your schedule for the word [Confirmed].

When the customer responds and confirms an appointment, at this time there is no thank you text sent back out.

But!!!! I see this as a great feature to add and will suggest it.

Good morning and thanks for the reply -

Again a couple of things -
1. The system at least on my desktop did send me a notification pop up window telling me the customer responded with confirmation and it did change the label on the schedule! My question however on this was initially when sending out the reminder text to the customer that they have an appointment, does the message window not show that initial reminder text?

2. That would be awesome for update, I do agree I do not want to flood the customer with unnecessary text messages, but just like me I do not want them wondering if we actually got their confirmation? So a quick reply of some sort I think would be okay, will be looking for the new upgrade :wink:

Yes, great idea.

As for the reminder message text, it is not kept or used in scheduling the appointment. The message is created in Message Manager under Settings-Appointment Reminder and is the same for all reminders.You can modify it too if you wish. Hope this is the answer you were looking for.
