Scheduler bleed over appointments
Scheduler bleed over appointments
To those of you who are using the scheduler, how do you handle the appointments that bleed over into the next days? I know the scheduler will pick up on the estimates we have entered into the repair orders and allocate time for those. But what about the jobs that are not finished or those that were unable to be looked at, for whatever reason? Do you create more appointments on the next day to allow for the time needed? How do you handle this?

Oh boy. This is an ongoing issue with us as well. But I have begun making notes on both the scheduler as well as the hard copy work order of additional time that may be needed and what to do when that happens. So far, the only way that I know of to allow for that is to initially physically allow for some time in the scheduler for the next day. It can get somewhat frustrating when I 4get to do that however, to do it that way, for us, at least gives each of us the possibility of a particular job flowing over into the next day.
As manager, fortunately it is only my job to keep things going and not the technicians so at times I am the one that needs to be creative in flexibility instead of always relying on the computer to come up with suggestions.

I'm reminded of a saying that an old farmer told me quite some years ago (early 1970s). "He that persisteth winneth". Keep at it till you find what works for your situation.

Not automated or graceful in any way but here's what we do...
If the existing work is going to bleed over into the next day we check the next day's schedule. If the schedule somewhat wide open we usually don't do anything. However, if you definately need to allocate the time on the schedule for the next day just Right Click on the existing job in the WIP then click Appointment. Change the Start/End Date/Time and enter comments. If you have automated reminders it shouldn't send a customer reminder as the vehicle should already be flagged as "Arrived".
