Scheduling Previews
Good day everyone... looking for feedback/suggestions. When adding a scheduled event for a customer vehicle. Below screen are being worked on now... Starting a new appointment first brings up the customer search screen you are familiar with. Searching for an existing customer or creating a new customer in typical manner. Third image shows appointment parameters. Fourth image shows what happens when you click on Create [order]

Re: Scheduling
Very nice. I see you are managing bay assignments....good.
Do orders show up on the scheduler as before or only scheduled events?

Re: Scheduling
Thanks JD. That pic answered my question about Estimates showing in the schedule as they do today. So am I to interpret the Auto Scheduling choice as a means to enable or disable the Quotes/Estimates input to the schedule? I think having the choice will please both camps; the ones that create Estimates for every scheduled job and those who simply make an Estimate entry and create the order once the vehicle arrives.

Auto Scheduling on will cause the system to prompt the user to set an appointment when closing (posting) an invoice...

Re: Scheduling
On the 2nd image 'this customer has multiple vehicles'... What if this is another vehicle the customer is bringing in that is not yet in the system? Shouldn't their be a button for 'new vehicle'.
I.E.We have seen this customer bring in the Hyundai and the Chevy, but maybe now they are bringing in their Dodge or Toyota.

Re: Scheduling
What does the schedule for the day look like... Currently we have Date- time, customer name, id, category, Status & notes....
I would like to see more vehicle info. I am currently typing in the YMM in the notes. So that would be nice to see on the schedule with out me having to type it in... Plus the Vin & License plates... We are still working through the previous vins are not correct or if there is a Fleet with several similar vehicles - you can use the Vin & License Plate to verify the correct vehicle quickly.
Currently the orientation is Portrait... If you change it to Landscape to be able to see more info.. that would be great.
I see there is a place you are writing notes in the 3rd picture... where do the notes show up... on the schedule or tech worksheet or both.
Thanks,
ARS

Re: Scheduling
A mechanism for overflow work would be a welcome addition. Also, the ability to schedule vacations and time off by technician.
I really like what I see so far. Looks great!

Re: Scheduling
There will be a 'New' button or something similar... the user should also be able to make an appointment with no vehicle. I may want to put on the schedule that Johnny Tech is out for the week. I want the schedule to show that as well.motley06 wrote:On the 2nd image 'this customer has multiple vehicles'... Re: Scheduling
It would be very time saving to be able to color-code technicians on the schedule page....knowing how much is scheduled for each tech at a glance.
Just a side-note on that, as we do that when laying out the day with our technicians on the days' printed schedule during our morning meeting. (Each tech has a color assigned to them, jobs highlighted on each repair order accordingly).

Re: Scheduling
Johnny5 is on vacation (well deserved) and will be back with us next week.
Probably can't show you anything loaded with data quite yet, but it's coming along. I was reviewing the canned Jobs interface yesterday as that is a screen still being developed...
Yes, color-coding for techs, etc. really makes this thing a joy.

Re: Scheduling
Folks,
Please try and understand that some of this is being held close to the vest. I don't want to tip my hand to a competitor. I promise, several people, Tim, myself, Silky and several others review progress daily. We are all excited in what we are seeing. There is color coding, you can drag things around the calendar, include an asset such as a tool or specific bay for the appointment, the appointment is for the CAR(!) and if you know how to use a calendar similar to what is in Office's Outlook, you will be right at home.

Re: Scheduling
Here is a little teaser:
Why doesn't the schedule automatically prompt to create a new appointment when I post an Invoice? It can! You can set your preference to Never, Always, or Prompt
Why doesn't the scheduler allow me to create a 'Shop Event' like change the oil in the compressor on the 15th? The new scheduler has a button called 'Shop Event" !
The current schedule only schedules customer, why not vehicle/tech and so on. Yup, that is true. The new schedule schedules the event for the vehicle that is owned by the customer. You also assign a tech if desired along with any special tool or bay or...

If we create a RO like we normally do, will the scheduler reflect the new order? If we change the date/time in the wip screen, will the scheduler automatically change?

<If we create a RO like we normally do, will the scheduler reflect the new order? If we change the date/time in the wip screen, will the scheduler automatically change?>
Changes to Time/Date In and Completion Date/Time do not appear in the appointment. The time/date in (# 1) is automatically stamped with the system time when an RO is marked as printed, the completion time/date (#2) is stamped the system time when the Invoice is marked as printed. Creating an RO does not automatically populate the calendar. If however you have Setup/Shop Data/ Screen View set to show ' Estimates in Schedule ' ; when creating an Estimate first, the schedule will be populated with that Estimate data. At anytime you can create an appointment from the WIP screen for anything. We have in the detail screen (right click on any line item on WIP) some additions:
1. Show Schedule Start (#3) - Updated with changes to appointment
2. Show Schedule End (#4) - Updated with changes to appointment
3. Include Appointment button to create or open existing appointment for editing.

Re: Scheduling Previews
We also modified the Work in Progress (WIP) screen to include Schedule information (#1). The information displayed for each order shows the start time and the number of hours included on the order(#2). Both shown date ( #2 and #3) reflect changes made in the appointment editor.
