Attaching an SO to an Appointment

Is there a way to attach an SO to an Appointment?

Scenario:
1. Customer comes in for a State Inspection, fails for shocks. Customer is broke and needs to wait to have work done. State Inspection fails. Customer leaves. Shocks are pre-ordered as they are not easy to get for this vehicle. SO is opened with shocks on the SO.
2. A week or so later customer books electronically to have the State Inspection completed (includes installing the pre-ordered shocks).
3. Normal processing of the electronic booking...email confirmation is sent to customer...Appointment is added to the Schedule.

Considering the above scenario how do we attach the SO to the Appointment?

You can't. The OLA is essentially creating a new appointment. What I would do in this case is follow through with the OLA onboarding, then delete the OLA and place the SO in it's place. The customer will still get reminded according to your settings/preferences and your schedule will still be properly loaded.

Or.....

Follow through on the OLA as usual, then move the lines from the SO to the OLA order.

I don't know the LOE to implement but can an attach feature be added?

FYI, this inability isn't limited to SO's. ANY existing order is incapable of associating with an OLA.

Correct. The initial example was based upon one specific scenario that we encounter frequently but the attach functionality would be quite useful for "standard" scheduling as well. We do not encounter the need for other existing orders as often but those instances would apply as well.

Hi Dan, Just want to make sure I'm understanding your request correctly. Are you trying to link an RO/INV that is the state inspection as well as an SO for an order that was created prior for the shocks to one scheduled Item?

There are probably a few other scenarios but the one that initially came to mind is a customer calls and makes an appointment...let's say 2 weeks out and they need parts for the job. In this case we don't want the parts sitting in the shop however we know the parts are readily available therefore we can delay on the parts order until a day or two before. The customer is put on the schedule. A reminder is added to the schedule to order parts for the customer a day or two prior to the scheduled vehicle arrival date.

Fast forward to the day the parts are ordered, an SO is created for the parts for that customer.

Now you have an SO and an appointment on the schedule. It would be nice and a time saver to be able to "attach" the SO to the scheduled appointment. This way, on the scheduled date of the appointment, you just open the SO from the appointment and convert it to a RO. Currently, you have to go right click on the SO, set the date appointment date/time on the SO, enter the comments in the appointment and save it to the schedule. Then you have to go to the schedule and delete the original scheduled entry.

Thanks for the clarification Dan, I can definitely understand especially now a days that parts are delayed quite a bit longer than just going down to the parts store and having everything in-stock like years ago. I'll see what we might be able to do in the future to possibly get this added in.
